Approve Absence/Vacation/Sick Leave

After an employee registers an absence request, this request is sent for approval to his or her manager (responsible person by default). 

Note
By default, a one step approval process including manager's approval is set up for the absence requests. The users can modify this process or create a new one.
Absence request approval can be performed even if the approval process is not set up. In this case the built-in approval workflow will be used. With this workflow, direct or additional managers can approve the absence.

Additionally, if the absence request specifies an acting person, the acting person request is sent for approval as well. That is, a request for some employee to act instead of the employee on vacation during the absence period. If the manager approves the absence request before the acting person approves the acting person request, the acting person request is approved automatically along with the absence request.

Approving acting person request

Normally, the employee who has been chosen to be as acting person during another employee's absence approves or rejects the acting person request first. However, the manager may approve the absence prior before that, which will approve the acting person request automatically. If the acting person rejects the acting person request, the employee who requested absence will not have any acting person during the absence period.

To approve an acting person request:

  1. In the Employee role, go to My Details > My Approval Requests.
  2. On the My Approval Requests page, on the Require My Action tab, locate the request to be approved, click View Item to view details, including file attachments, if necessary, and then click Approve/Reject.img158(1)
  3. In the Process Approval Request window, select one of the approval options:
    • Approve – Select this option to approve the request.
    • Reject – Select this option to reject the request. In the Comment field, type the rejection reason.
    • Request Change – Select this option to request the initiator to make changes to the request . In the Comment field, type the request reason.img160(2)

The Status will be changed according to the selected approval option (it will be visible to the responsible person who will be approving the absence), and the request will disappear from the Require My Action type.

Approving absence request

The manager can see absence requests it in the Manager role menu under My Team Attendance > Absences.img010(4)

The page consists of the two sections – pending absence requests and absence schedule.img011(4)

Managers can create the absence requests on behalf of their subordinates.

If the employee's manager changes, the absence requests pending approval are reassigned to a new manager.

All the requests that await the manager’s approval are available under Pending Absence Requests. In the Acting Person column, the manager can see the name of the employee who has been requested to be the acting person during the absence period as well as the status of the acting person request in brackets. Note that if the manager approves the absence request while the acting person request is pending approval, the acting person request will be approved automatically.

Additionally, if an employee specified you as an acting person when creating an absence request, and you have the Manager role, when you open the Absence Schedule (My Team Attendance > Absences), in addition to your own team, you will also be able to see and approve absences of that employee's team members.

Unapproved absences will also be displayed in the Absence Schedule.

Follow these steps to approve or reject an absence request:

  1. In the Pending Absence Requests section, on the line of the request to process, click Approve/Reject.
  2. In the Process Approval Request window, select one of the approval options:
    • Approve – Select this option to approve the request.
    • Reject – Select this option to reject the request. In the Comment field, type the rejection reason.
    • Request Change – Select this option to request the initiator to make changes to the request . In the Comment field, type the request reason.img012(3)

The approved request will disappear from the pending requests. The status of the request will change according to the selected approval option.

The employee will see the approved vacation in the Employee menu under My Time and Attendance > My Absences.
